Credit Card on File Policy

To our patients:

WeSmile Dental Care may ask our patients to leave a credit card on file. Holding credit cards on file is standard practice and this is done for your convenience and to ensure that billing can be completed.

Your card will only be billed in the following circumstances:

  1. Rejected Insurance Claims:

    Some insurance plans may not cover certain items, or may require deductibles/co-payments that are unknown at the time of service or treatment. This new payment system would thus allow us to recover the costs which have been rejected by the insurance companies.

  2. Outstanding Debt:

    We sometimes allow patients to partially pay for a service, or make partial payment first before covering the rest of cost of a service at a later date. Holding your card on file enables us to complete payment for these service(s) or treatment(s).

  3. Patient Convenience:

    We understand it’s difficult to return to the clinic to make a payment, especially when you’re not feeling well. Holding your credit card on file will spare you the inconvenience of coming down to the clinic to make a payment (especially if you live overseas).

Do note that WeSmile Dental Care will not charge you until we have informed you of an invoice to be billed and only after you have authorised us to do so.

WeSmile Dental Care will only charge you in the following circumstances:

  1. If you authorise a payment – In the event that you have an outstanding payment due to the clinic and are not able/willing to come down to the clinic to settle it, you can ask that your card on file be charged. This also applies to any authorised recurring payments.

  2. If your debt at the clinic is older than 90 days old – In the event you have an invoice owed to the clinic that is over 90 days old, the clinic will finalise the invoice, inform you of the outstanding debt and complete payment with your card on file.

  1. If your insurance claim is rejected – In the event your insurance claim is rejected, the clinic will inform you of the rejected claim and proceed to charge the card on file with the clinic.

  2. Adherence to our cancellation policy – If you need to reschedule an appointment, you must provide us with at least 24 hours’ notice, otherwise a late notice fee will be charged.

When your card on file is charged, the clinic will mail you your invoice and receipt for your own records.

Your card will be held on a PCI-DSS compliant service. PCI-DSS is the Payment Card Industry Data Security Standard (PCI-DSS), a standard adopted by e-payment providers to protect your credit card information.
